Position Objectives

  • To manage all aspects of Facilities, Operations, Maintenance, Safety and health environment
  • To be responsible for the smooth operations of the office: ensuring hygienic and well-maintained environment, buildings, landscape, and facilities.
  • To devise and monitor facilities maintenance, control of assets and energy conservation programmes.
  • To provide professional advice and supervision on estate management, health and environmental subjects.
  • Define and implement security and health and safety policies, procedures and processes in order to provide a safe and secure environment for all staff, and visitors to the Office.

Responsibilities

Facilities Responsibilities:

  • Set standards on safety, hygiene, cleaning, facilities management for the office.
  • Develop, review and monitor facilities related policies to ensure that all the facilities are well maintained, and meet government regulations and standards.
  • Prepare and Plan an annual budget for maintenance and capital expenditure plans as well as assist in future development of Office facilities.
  • Maintain a complete filing system of drawing, specification and equipment specification manuals for all floors and equipment on Office.
  • Manage and control the consumption of energy and utilities and uphold the Office's target
  • Manage and control equipment, stock and store items for operations of the responsible areas.
  • Responsible for maintaining hazardous substance licenses, and other requirements from all government agencies.
  • Supervise the team to support any Office events and events organized by outside parties.
  • Perform any other duties as assigned by management and academic leadership.

Safety and Security Responsibilities:

  • Plan, develop, and manage the Office ’s safety & security policies, processes and procedures.
  • Ensure a safe and secure environment for staff and visitor by properly monitoring especially the Office’s entrances and exits. Ensures each security point manual is updated and contains all necessary information about the guard duties and the office emergency and other relevant policy and procedures
  • Manage Fire Alarm system's daily operations and responses to any emergency situations.
  • Coordinate with Build Service team for monitor and maintain all security related equipment such as CCTV camera operation and ensure all maintenance and upgrades are completed in a timely manner.
  • Conduct internal and external audits and accident investigations, recommend solutions, quality reports, follow up, and ensure preventive actions are implemented.

Requirements

  • Bachelor’s degree in engineering, facility management, construction management or related fields.
  • Strong knowledge of the principles, practices, and techniques of health, safety and security procedures and all relevant local legislation.
  • Solid knowledge of health and safety requirements, child safety and preventive maintenance.
  • Professional experiences at managerial level and proven track record of success in building and ground management with multi-cultural organizations
  • Strong analytical skills and attention to detail.
  • Excellent verbal and written communication and interpersonal skills with the ability to effectively collaborate with management and various stakeholders.
  • Resourceful, flexible and able to handle pressure and changes in business directions efficiently.
  • Familiarity with the Intrusion alarm, CCTV, and Fire protection system.
